Terms and Conditions
1. Organization
BayernMUN is organized by the United Nations Society Nuremberg e.V. (UNSN). UNSN is represented by the BayernMUN Secretariat for the formal organization of the BayernMUN conference. UNSN is a non-profit organization and has no commercial interest in the organization of this conference. The conference is dedicated to educational purposes and registration fees are at net cost price.
2. Registration
Registration to the BayernMUN conference will be realized through our website. Group registrations can be made via “registered groups” in agreement with the BayernMUN Secretariat. Participants will receive a confirmation e-mail to verify their successful registration. In special cases, e.g. visa restrictions or other travel restrictions, the organizers reserve the right to cancel registrations (see cancellation policy).
3. Cancellation policy
The BayernMUN Secretariat reserves the right to cancel the in-person conference. A refund is possible only if the conference is canceled before the refund deadline outlined below.
Each participant can withdraw from their registration at any point by contacting the BayernMUN Secretariat. In this case, the following cancellation policy applies:
- after December 31, 2024, we reserve the right to withhold a fee of 60% per person.
- after February 1, 2025, we reserve the right to withhold the entire fee.
4. Conditions of payment
The costs for the conference are 90 €. The costs for conference participants for accommodation (including breakfast) are 165 €. The conference participation includes snacks during breaks as well as lunch (Sat/Sun) and dinner (Fr/Sa). The participation fee is due upon registration via the online store. Online payments will be processed via PayPal PLUS and additional fees apply for the online checkout (approx. 35 ct+1.49% of fee). The conference organizers are not responsible for any payment details processed via the payment provider.
If participants register as a group, they might be eligible to apply for payment on account. This must be confirmed with the BayernMUN Secretariat. If such invoices are not balanced in time, the organizers may refuse participation in the conference and additional fees might apply.
5. Disclaimer of liability
Possible damage to participants’ property will only be covered in case of gross negligence or intent on the side of the organizers. Damage to the participants’ health or well-being will only be covered if caused by intentional or negligent breach of duty of the organizers.
6. Youth Protection
Participants under the age of 18 need to be accompanied by legal guardians. A transfer of the legal guardian duties can be issued for this conference according to German law. A form to be filled out and issued to the BayernMUN Secretariat before the conference can be found here.
The document needs to be filled out for the conference itself and a second time, if you wish to participate in the Delegates Dance.
7. Privacy-Policy: Data handling and protection
Collection of Data
The organizers will collect the following data: name, surname, sex, e-mail address, date of birth, postal address, nationality, emergency contact, food preferences, allergies, Covid-19 status, and other medical conditions.
Voluntariness & revocation
The consent to retrieve and store your personal data is a necessity for participating at the BayernMUN conference. The consent can be withdrawn at any time with effect for the future. Participation in BayernMUN is then no longer possible (see cancellation policy).
Storage purpose and duration
By registering and providing personal data, participants declare their consent that the conference organizers are able to store the respective data for the purposes of event management, internal statistics and for sending information. For this, the participant particularly declares consent to receive e-mails from the conference organizers. Data will be deleted from any BayernMUN internal files or cloud-hosting services at the latest three months after the end of the conference. Data may be maintained beyond this point in pseudonymized form for internal statistics. Please see point 8 for further information.
Guarantor for data processing
The BayernMUN Secretariat and the board of UNSN are responsible for data processing. Data will be stored electronically on the web service of bayernmun.org as well as on a Magenta Cloud.
Forwarding to third parties
To ensure accommodation and catering, data (full name, birthday, postal address, nationality, food preferences allergies) will be forwarded to the Jugendherberge Nürnberg. UNSN is not liable for the transfer of data by the named institution. Please also see point 8 for further information.
Your rights
You have the following rights:
- If your personal data is processed, you have the right to receive information about the data stored about you (Art. 15 GDPR).
- Should incorrect data be processed, you have the right to rectification (Art. 16 GDPR).
- If the legal requirements are met, you can request the deletion or restriction of the processing and file an objection to the processing (Art. 17,18, 21 GDPR).
- If you have consented to the data processing or if a contract for data processing exists and the data processing is carried out by automated means, you may have the right to data portability (Art. 20 GDPR).
- Moreover, you have a right to complain to the data protection officer of Bavaria (Prof. Dr. Thomas Petri, poststelle@datenschutz-bayern.de)
8. Pretix.eu
The BayernMUN website uses the shop system Pretx.eu. The conference organizers will treat the data provided by the participant confidentially and only use it in accordance with data protection regulations.
9. Right to your own picture
During the conference, staff might take pictures of single participants, groups or the conference proceedings. These pictures will be shared with all participants on our website. Furthermore, some of these will be used to promote the conference on our social media channels. Additionally, some pictures will be used by our sponsor Diakoneo for their own use. The detailed policy in line with the “Datenschutz-Grundverordnung“ (DSGVO) for each, BayernMUN and Diakoneo, can be found here. During the registration process, you can give consent for any recordings to be made during the conference to be published. You can withdraw your consent at any time. Please be advised that in the case in which participants do not wish to be seen in any published content, the participants should inform the conference staff accordingly, if pictures have been taken. Please be aware that active participation during group photos is seen as consent to the publication of this group photo.
10. Final provisions
Severability: If a provision of this agreement is or becomes legally invalid or if there is any gap that needs to be filled, the validity of the remainder of the agreement shall not be affected thereby. Any changes of or amendments to this Agreement and specifically to this provision must be in writing to become effective.
Force Majeure: If performance by either party is prevented, restricted or delayed due to any cause arising from or attributable to acts, events, non-happenings, omissions, accidents or acts of God beyond the reasonable control of the party due to perform, the party so affected shall be excused from performance to the extent of such prevention, restriction or delay. No party shall have any liability to any other party for delay or non-delivery in the performance of its obligations under this Agreement, when attributable to acts of God, compliance in good faith with any applicable foreign or domestic governmental regulation or order whether or not it proves to be invalid, fires, war, riots, labor disputes such as strikes or lockouts, sabotage, unusually severe weather or any other cause beyond the reasonable control of such Party.
Governing Law: These terms and conditions shall solely be governed by, and construed in accordance with, the laws of the Federal Republic of Germany excluding the UN Sales Convention.
