Terms & Conditions
BayernMUN is organized by the United Nations Society Nürnberg (UNSN). For the formal organization and responsibility for organizing BayernMUN conference UNSN is represented by the BayernMUN secretariat. UNSN is a non-profit organization and has no commercial interest in the organization of this conference. The conference is dedicated to educational purposes and registration fees are at net cost price.
Registration to the BayernMUN conference will be realized through our website. Group registration can be made via registered groups in agreement with the BayernMUN Secretariat. Participants will receive a confirmation mail to verify their successful registration. In special cases e.g. visa restrictions or other travel restrictions, the organizers the reserve the right to cancel registrations (see cancellation policy).
3. Cancellation policy (particularly Covid19 situation)
The BayernMUN secretariat reserves the right to cancel the in-person conference by 31st January 2021. Furthermore, the in-person conference might be canceled based on the current infection protection laws. In both cases, participants will receive a full refund excluding the 15€ administrative charge or will be offered the possibility to move their registration to the online version and will be refunded with the difference of their registration fee. Expenses for travel costs are not in the liability of the conference organizers and will not be covered. After the 31st January 2021 refunds of any type for the in-person conference are no longer possible.
The organizers will only be able accommodate the online conference if more than 30 participants are registered. If the minimum number of participants is not reached by 15th January 2021, the online conference will be canceled, and the full costs refunded. Any decisions will be communicated to the participants as soon as they emerge via mail. After the 15th January 2021 refunds of any type for the online conference are no longer possible.
Each participant can withdraw from their registration at any point through contacting the BayernMUN secretariat. In this case, the outlined cancellation policy applies.
The following refund fees will apply:
- In person conference: a general administrative charge of 15€ will always apply in case of cancellations; from 15.01.2021 there will be an additional cancellation fee of 50€ (15€ + 50€); from 31.01.2021 we will not be able to refund your fees in case of a cancellation of any kind.
- Online: a general administrative charge of 5€ will always apply in case of cancellations; from 15.01.2021 we will not be able to refund your fees in case of a cancellation of any kind.
4. Conditions of payment
The costs for the conference are 89€ for in-person conference and 24€ for the online conference. The costs for conference participants for accommodation (including breakfast) are 66€. The conference participation includes snacks during breaks as well as lunch (Sat/Sun) and dinner (Fr/Sa). The participation fee is due upon registration via the online store. Online payments will be processed via PayPalPLUS and additional fees apply for the online-checkout (approx. 35 ct+1.49% of fee). The conference organizers are not reliable for any payment details processed via the payment provider.
If participants register as a group, they might be eligible to apply for payment on account. This has to confirmed with the BayernMUN secretariat. If such invoices are not balanced in time, the organizers may refuse the participation to the conference and additional fees might apply.
5. Disclaimer of liability
Possible damage on participants property will not be covered by the organizers. Putative damage on the participants health or well-being might only be covered if caused by intentional or negligent breach of duty of the organizers.
6. Youth Protection
Participants under the age of 18 need to be accompanied by legal guardians – especially for events taking place after 10 pm. A transfer of the legal guardian duties can be issued for this conference according to the German law. A form to be filled out and issued to the BayernMUN secretariat before the conference can be found here.
7. Privacy-Policy: Data handling and protection
Collection of Data
The organizers will collect the following data: name, surname, sex, e-mail address, date of birth, postal address, nationality, emergency contact, food preferences, allergies and other medical conditions.
Voluntariness & revocation
The consent to retrieve and store your personal data are a necessity for participating at the BayernMUN conference. The consent can be withdrawn at any time with effect for the future. Participation in BayernMUN is then no longer possible (see cancellation policy).
Storage purpose and duration
Through registration and providing personal data, participants declare consent that the conference organizers are able to store the respective data for the purposes of event management, internal statistics and for sending information. For this, the participant particularly declares consent to retrieve mails from the conference organizers. The data will be stored as long as necessary to fulfill the above-mentioned purpose. Data will be deleted from any BayernMUN internal files or cloud-hosting services at the latest three years after the end of the conference. Please see point 8 for further information.
Guarantor for data processing
Responsbile fort he data processing are the BayernMUN secretariat as well as the steering committe of UNSN e.V. Nürnberg (respresented by the first chairman). Data will be stored electornically on the web service of bayernmun.org as well as on a Magenta Cloud.
Forwarding to third parties
To ensure the accomodation and catering, data (full name, birthday, postal address, nationality) will be forwarded to Jugendherberge Nürnberg. UNSN is not liable for the transfer of data by the named institution. Please also see point 8 for further information.

The BayernMUN website uses the open source shopsystem WooCommerce. The conference organizers will treat the data provided by the participant confidentially and only use it in accordance with data protection regulations.
The WooCommerce-plugin is based on the content-management system WordPress (subsidiary company of Automattic Inc. (60 29th Street #343, San Francisco, CA 94110, USA)). Data will be transferred to Automattic Inc., stored and processed. The following data will be automatically processed through Automattic in server logfiles: IP address, browser information, language setting, date and time of web access. Additionally, WooCommerce will set cookies in your browser and eventually use them to use it for customized commercials. The activation of cookies might be requested to guarantee the proper functionality of the WooCommerce web shop. UNSN is not liable for the transfer of data by Automattic Inc. or WooCommerce.
9. Right to your own picture
During the conference, staff might take pictures of single participants, groups or the conference proceedings. These pictures will be shared with all participants on our website. Furthermore, some of these will be used to promote the conference on our social media channels. Additionally, some pictures will be used by our sponsor Diakoneo for their own use. The detailed policy in line with the “Datenschutz-Grundverordnung“ (DSGVO) for each, BayernMUN and Diakoneo, can be found here. During the registration process, you can give consent for any recordings to be made during the conference to be published. You can withdrawal you consent any time. Please be advised that in the case in which participants do not wish to be seen on any published content, the participants should inform the conference staff accordingly if pictures have been taken. Please be aware, that active participation during group photos is seen as consent to the publication of this group photo.
10. Final provisions
Severability: If a provision of this agreement is or becomes legally invalid or if there is any gap that needs to be filled, the validity of the remainder of the agreement shall not be affected thereby. Invalid provisions shall be replaced by common consent with such provisions which come as close as possible to the intended result of the invalid provision. In the event of gaps such provision shall come into force by common consent which comes as close as possible to the intended result of the agreement, should the matter have been considered in advance. Any changes of or amendments to this Agreement must be in writing to become effective.
Force Majeure: If performance by either party is prevented, restricted or delayed due to any cause arising from or attributable to acts, events, non-happenings, omissions, accidents or acts of God beyond the reasonable control of the party due to perform, the party so affected shall be excused from performance to the extent of such prevention, restriction or delay. No party shall have any liability to any other party for delay or non-delivery in the performance of its obligations under this Agreement, when attributable to acts of God, compliance in good faith with any applicable foreign or domestic governmental regulation or order whether or not it proves to be invalid, fires, war, riots, labor disputes such as strikes or lockouts, sabotage, unusually severe weather or any other cause beyond the reasonable control of such Party.
Governing Law: This terms and conditions shall solely be governed by, and construed in accordance with, the laws of the Republic of Germany represented by the Amtsgericht Nürnberg, excluding the UN Sales Convention.
